Although the laws surrounding renting a property are the same for all, the processes that each agency uses can vary considerably. At MCM Property Services we want prospective tenants to feel confident that they know what will happen when applying for a property through us. This is why we have outlined some of the key processes we follow at application and commencement of a tenancy.

What is an 'Ingoing Condition Report'?

At MCM Property Services we aim to make the tenancy application process as quick and easy as possible.  This is why we have invested in some of the latest leasing technology to enable you to complete and submit your application online from any computer. 

To ensure that your application is processed as quickly as possible, please complete all sections thoroughly and provide the following documentation for each applicant:

1. 100 point proof of identification e.g. drivers licence, passport, bank statement, utilities (phone, electricity, gas) bill addressed to you at your current residence.
2. A rental ledger from your current and previous landlord or managing agent.
3. Proof of income, e.g. 4 consecutive pay slips, signed statement from your employer, bank statement or tax return and business registration (if self employed).
4. Pet registration details and reference (if applicable).
5. Any written references from current landlord/managing agent, employer, personal referees. 

Upon receipt of your completed application, all information will be verified by contacting the nominated referees. Your application will be processed and submitted to the landlord for their decision within 24 - 48 hours. Please be aware that it is the landlord that makes the final decision on your application. 

If your application is accepted by the landlord you will be contacted by us to confirm your approval. To secure the property you will be required to pay a Holding Fee of one week’s rent to MCM Property Services Trust Account. An appointment will then be scheduled for you to meet with your property manager and sign all lease documentation. This appointment will take approximately 30 - 45 minutes.

Prior to collecting the keys for the property you will be required to pay the following:

• 2 weeks rent in advance (minus any holding fee already paid)
• 4 weeks bond

Please note that all payments must be made using our online payment system or in person using a money order. No personal cheques or cash will be accepted for holding fees, initial rent or bond payments. 

All properties leased through MCM Property Services require the payment of a bond equivalent to four (4) weeks rent. The bond will be held by NSW Fair Trading Rental Bond Board for the duration of the tenancy. Once you have vacated the property at the end of your tenancy the bond will either be refunded to you in full or claimed by us on behalf of the landlord for payment of outstanding rent or invoices, or costs associated with cleaning, damage, rubbish or removal of goods from the property. 

In addition to the bond and advanced rent you will also be responsible for any connection charges that may be associated with utilities including phone, internet, electricity, gas and pay TV.

To assist you in this process MCM Property Services has formed an alliance with a leading utility connection service provider. This no obligation service is available to you completely free of charge. If you would like to take advantage of this free service simply complete the Direct Connect authority on the tenancy application and a customer service representative will be in touch to arrange your connections. 

At the commencement of the tenancy a full set of keys will be provided to each full lease holder. This includes swipe cards, security keys or other devices or codes used to access the property. If you require any additional sets of keys (e.g. for older children) you must obtain prior apporval and the cost of supply will be yours. 

Please note that the initial collection of keys can only be done by a full lease holder. 

It is important that you are aware that the landlord’s insurance does not in any way provide coverage for your belongings. We strongly advise you to seek professional advice regarding tenant contents insurance. Most major insurance providers have insurance products specifically tailored to tenants.

An ingoing condition report is a document that is prepared by your property manager at the commencement of the tenancy.  This report is extremely important to you as it describes the condition of the property at the start of the tenancy, which will then be compared to the condition of the property when you vacate. The tenant is responsible for returning the property to the condition in which it was given (fair wear and tear accepted).

When collecting the keys you will be given a copy of the condition report to review at the property. We recommend that you read the report thoroughly and make any additional comments to ensure that the report accurately reflects the condition of the property. We strongly recommend that this is done before you commence unpacking your belongings.   

The completed report must be returned to MCM Property Services within 7 days of the commencement of  your tenancy. You will then be issued with a copy of the completed report as signed by both the agent and the tenant. This then becomes the legal condition report. 

Should you not return your copy of the report within 7 days from issue, it is assumed that you agree with the agent's assessment of the condition of the property as outlined in the original report.
